03 / Who can do what
Three roles. No accidental spending.
The person who pays the bill should be the person who sets the limits.
Owner
- Everything, including billing and locations.
- Creates locations and projects, and sets who runs them.
- Sets the monthly budget for everyone, and for any one person.
- The only role that can change another person's role.
—Can raise any budget, their own included. This is the person who pays the bill.
Manager
- Adds and removes documents.
- Chooses how each project answers questions.
- Adds and removes project members.
- Sees what everyone has spent this month.
—Cannot create a location. Cannot add or change another manager.
Regular
- Signs in and asks questions.
- Reads every conversation they are part of.
- Sees the shelves you give them, and those of any project they are in.
—Changes no settings at all. They can add documents to their own shelves, unless you turn that off.

What is this, in one paragraph?
InkToBrain brings your documents, policies and procedures together in one place. You upload them once. After that, anyone you invite asks a question in plain language and gets an answer that names the document and the section it came from. Your team shares the same conversations instead of each person keeping their own.
Can two sites keep their work separate?
Yes. Every project belongs to a location, so a second site's work never lands in the first site's conversation. A project carries its own shared documents, its own members and its own answering settings. Only an owner can create or change a location.
Who can change which model a project uses?
An owner or a manager. The choice belongs to the project and applies to everyone in it. It is applied every time a question is answered. Nobody in the project can get around it and put their question on a more expensive model.
How do I stop one person running up the bill?
Give them a monthly budget. Every answer is costed and charged to the person who asked. When they reach their budget the next question is refused, so you find out before the money is spent rather than after. A budget of 0 means no limit.
How do I know an answer is right?
Every answer carries small numbered markers. Underneath, a Sources row names the document and the section each marker points at. Ask when the quarterly return is due and the answer names the section of your tax handbook that says so. Open it and read the passage yourself. If your documents do not cover the question, it says so instead of guessing.
What can I upload?
Six kinds of file: .pdf, .epub, .docx, .txt, .md and .html. Brand guidelines exported from Word, a standards document saved as a web page and a supplier contract as a PDF all land the same way.
Once a document is in, your team can still read it: open it, change the theme to something easier on the eye, or have it read aloud.
One honest caveat. A scanned PDF that is really just photographs of pages will not work yet, because there is no text in it for us to read. Anything exported from a program you typed in is fine.
Where does our data actually go?
Your documents stay on your own system. When someone asks a question, only the few lines needed to answer it are sent to the AI. A whole document is sent only when someone asks it to read one right through, and your library as a whole is never sent.

Can it plug into our website and tools?
Yes, three ways. It can answer on a website you already have. It can plug into the tools your team already uses. And anything you build yourself can ask it questions too.
Each of those connections can be tied to a single shelf. The assistant on your billing page can only ever read your accounting shelf, and you can cut off any connection whenever you like. The essentials →
What does it cost to run?
Two things. What your own hosting costs, and what your AI provider charges per question. A quick question on a fast model costs very little. A long piece of research on the best model costs more. There are no seats, no subscriptions and no markup from us. Run it on your own machine and the cost per question is nothing.
